How to request a business hardware quote

What to include in an IT hardware quote request: exact SKUs, quantities, delivery dates, licenses, and a sample request you can adapt.

Guide · 3 min read

To request a business IT hardware quote, send the manufacturer part number, quantity, delivery location, needed-by date, and whether alternatives are acceptable. Include licensing, support, and product-condition requirements. These details help Precision Tech Supply (PTS) check the right configuration and reduce follow-up questions.

What information should a hardware quote request include?

  • Manufacturer and exact part number: include ordering suffixes. “48-port PoE switch” leaves uplink speed, power capacity, and licensing unresolved. If you have a device label or an approved design, use its ordering SKU.
  • Quantity: give a quantity per line and identify phased deliveries.
  • Ship-to location: include city, state, ZIP code, and country so freight and applicable tax can be considered.
  • Schedule: state when equipment must arrive on site, and whether the deadline is fixed. Allow time between delivery and installation.
  • Condition: state whether new equipment is required. Ask for condition and applicable warranty to be identified in the quote.
  • Licenses and support: specify feature tier, subscription term, coverage duration, and any existing agreement that affects ordering.
  • Alternatives: mark each line as exact-match only or open to a proposed equivalent.

Example: a quote request you can adapt

This is an illustrative request, not an offer of pricing or availability. Replace the example with your requirements.

Organization: [company or institution]
Ship to: [city, state, ZIP, country]
Required on site: [date]; deadline is [fixed / flexible]

Line 1: Cisco C9200L-48P-4G-E — quantity 2
Condition: new
Licensing: confirm required subscriptions and ordering SKUs
Support: quote the requested coverage separately
Alternatives: exact model preferred; propose alternatives for approval

Please separate hardware, licenses, support, shipping, and applicable tax.
Include estimated lead time and quote expiration.

If you do not know the SKU, describe the use case, capacity, and equipment it must work with. Attach a specification or device-label photo if helpful. Remove passwords and confidential network details.

How do I submit a spreadsheet or bill of materials?

Use the quote request form to describe the project and attach your BOM or specifications. Keep one item per row with separate columns for part number, description, quantity, and notes. Up to 5 files, 2 MB each, 7.8 MB total. Accepted: PDF, XLS, XLSX, CSV, DOC, DOCX, TXT, PNG, JPG. For networking projects, start with the network refresh BOM checklist.

How should I compare hardware quotes?

Compare the complete delivered configuration, not unit price alone. Check exact SKUs, condition, required licenses, support, freight, tax, quote validity, and delivery assumptions. A lower hardware price may exclude items needed for deployment. Ask whether partial shipments are acceptable and how they affect freight.

Mention exemption documentation at the start if your purchase may qualify for tax-exempt purchasing. Applicable tax treatment needs confirmation before ordering.

What happens after I send the request to PTS?

Your requirements provide the basis for checking sourcing options, preparing a quote, or requesting clarification. Response timing depends on the BOM and supplier information. Before approving an order, confirm configuration, commercial terms, and delivery expectations in writing. Review our warranty and sourcing guide for the questions to resolve.
